General Secretary – Role Description

Overview:

Ensure meetings are organised effectively, maintains effective records such as voting, liaise with the insurance company, and ensure society announcements are undertaken. The General Secretary is also the Company Secretary and a voting member of the Committee with a Directorship on Companies House. This role encompasses the DPO role.

Key Tasks:

  • Organise meeting locations including the AGM, prepare the agenda, minute the meetings
  • Attend approximately 5-6 Committee meetings per year, and the AGM, plus ad hoc online
    meetings.
  • Prepare proposal voting forms, prepare ballot paper, write up proposals and manage the voting for AGM motions
  • Prepare announcements of new rules for the newsletter and website
  • Upholding legal requirements such as Confirmation Statements, filing accounts, and registering new Directors on Companies House
  • Manage the insurance renewals with a full review every 3 years
  • Agree and sign contract for championships with landowner
  • Write announcements for new officers and re-elections
  • Investigate and reply to member communication and correspondence
  • Attend the championships for pre-event announcements and medal awards and general
    assistance
  • Arrange and/or attend disciplinary hearings as required
  • Data Protection Officer for the society (see DPO job description)
  • Undertake any training required by the NFAS Committee
  • Ad hoc projects as required

Time Commitment:

10 hours per week average, depending on time of year
1 day at the weekend approximately every 2 months for Committee meetings
